NAEP Safe Meeting Policy

The National Association of Educational Procurement (NAEP) is committed to providing a safe, productive, and welcoming environment for all meeting participants. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, NAEP staff, NAEP board members, service providers, and others are expected to abide by this meeting safety and responsibility policy. This policy applies to all NAEP meeting-related events and activities.

Responsible Drinking

At most NAEP networking events both alcoholic and non-alcoholic beverages are served. NAEP expects participants at our events to drink responsibly. NAEP and venue service personnel have the right to deny service to participants for any reason and may require a participant to leave the event.

Personal Safety and Security

NAEP works diligently to provide a safe and secure environment at its meetings and events by working with venue staff to make sure meeting participants are safe. We ask that all attendees report any questionable or concerning activity to NAEP staff so that they can take immediate action. No concern is too small, if you see something, say something.

 Be aware of your surroundings at all times.
 Use the buddy system when walking to and from the event venue, networking event locations during early or late hours.
 Don’t wear your meeting badge on the street. Take it off as soon as you leave the building/venue.
 Don’t carry a lot of cash or credit cards. Leave in your hotel room safe.
 Don’t leave personal property unattended anywhere, anytime.


If it is an emergency or if you need immediate assistance, you should ask any NAEP staff member or the on-site security personnel to help you.


Unacceptable Behavior

 Harassment, intimidation, or discrimination in any form.
 Physical or verbal abuse of any attendee, speaker, volunteer, exhibitor, NAEP staff member, NAEP board member, service provider, or other meeting guest.
 Examples of unacceptable behavior include, but are not limited to, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, NAEP staff member, service provider, or other meeting guest.
 Disruption of presentations at sessions, in the exhibit hall, or at other events organized by NAEP at the meeting venue, hotels, or other NAEP-contracted facilities.


NAEP has zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants, board, or our staff at our meetings. If you experience harassment or hear of any incidents of unacceptable behavior, NAEP asks that you inform NAEP staff or a member of the Board of Directors so that we can take the appropriate action. 

NAEP reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and NAEP reserves the right to prohibit attendance at any future meeting.

 

NAEP Privacy Policy

This privacy policy discloses the privacy practices for NAEP and naepnet.org. This privacy policy applies solely to information collected by this website:

  1. What personally identifiable information is collected from you through the web site, how it is used and with whom it may be shared.
  2. What choices are available to you regarding the use of your data.
  3. The security procedures in place to protect the misuse of your information.
  4. How you can correct any inaccuracies in the information.

NAEP collects only the least amount of information necessary to provide excellent service and first-rate experiences to members and registrants. NAEP does not sell information to third parties but does reserve the right to provide specified information to sponsors and exhibitors of events or the association. The specified information is limited to registrants names, titles, email addresses, and institution/employer names. NAEP’s membership database is housed and maintained by a duly licensed, compliant, and monitored third party.

NAEP does not store credit card information. Credit card payments are processed by a duly licensed, compliant, and monitored third party.

 

Information Collection, Use, and Sharing

NAEP is the sole owner of the information collected on this site. We only have access to/collect information that you voluntarily give us via email or other direct contact from you. NAEP will never sell or disclose your information to another source.

Unless you ask us not to, we may contact you via email in the future to tell you about specials, new products or services, or changes to this privacy policy.

 

Personal Information

NAEP is a private member-based website and personal member information is not viewable on the public site. Note: Regional websites are public and their content is controlled by regional admins and not NAEP employees. Some content MAY BE VIEWABLE to the public. You have the right to delete any personal data, profiles or posts that you make on the NAEP website or regional websites. If you are unable to access any personal data that you wish to delete, please contact us, and this request will be processed immediately.

 

Your Access to and Control Over Information

You may opt out of any future contacts from us at any time. You can do the following at any time by contacting us.

  • See what data we have about you, if any.
  • Change/correct any data we have about you.
  • Have us delete any data we have about you.
  • Express any concern you have about our use of your data.

 

Security & Payments

NAEP takes precautions to protect your information.

Wherever we collect sensitive information (such as credit card data), the information is encrypted and transmitted to us in a secure way. You can verify this by looking for a closed lock icon at the bottom of your web browser, or looking for "https" at the beginning of the address of the web page.

Pricing

NAEP’s primary sources of revenues are membership dues and meeting registration fees.

Current dues structure is subject to change without advance notice.

Events and their pricing vary based on the type of event.

Refunds

Generally, there is no need to refund dues once they have been paid. The membership year is the calendar year for all members. If necessary and justified, a dues refund may be requested by submitting an email.

Refund requests for event registration fees must be received no later than 30 calendar days before the event start date. Requests received after that deadline will not be honored without cogent justification.

Refunds are subject to cancellation fees that are set during the event registration time window. The cancellation fees (typically $50) are priced to cover the accompanying administrative costs.
