All conference events (except the Sunday night host event) will be held at Disney's Contemporary Resort. Hotel rooms for the meeting are at the Disney Contemporary Resort and Disney's Animal Kingdom Lodge.
NAEP has secured a very aggressive discounted room rate of $199 single/double plus applicable taxes ($25 additional person fee above double occupancy. A standard room accommodates a maximum of 5 people). Room reservations must be made no later than March 6, 2018. This deadline will not be extended and may in fact end early based on availability.
This discounted room rate is available from Thursday, April 5th through Thursday April 12th, as long as rooms are available. Room nights before and after the above referenced dates are subject to availability from Disney, if available, and at their prevailing market rate.
As of January 8th, Disney's Contemporary Resort is sold out on most nights over the conference (including dates before and after the conference). Not only is the NAEP room block full, but the hotel itself is at capacity.
Hotel rooms are available at Disney's Animal Kingdom Lodge, our overflow hotel. Included in the Animal Kingdom room rate is a daily $10 gift card for Uber for your transportation to and from the Animal Kingdom Lodge to the Contemporary. There is also a Disney bus system that runs complimentary through the parks and resorts.
Please note that we anticipate that our room block at Disney's Contemporary Resort Hotel will fill up very quickly this year. Register for the conference and reserve your room as early as you can. To ensure our room block is available to our NAEP members, NAEP is limiting the number of rooms anyone can make in their name to two rooms per night. NAEP will also be periodically reviewing the hotel rooming list provided by Walt Disney World to ensure everyone in the NAEP room block is attending the NAEP 2018 meeting.

Getting to the hotel and Walt Disney World: Disney’s Magical Express
After you reserve your room and make your airfare reservations, you will need to make your Disney’s Magical Express Reservation. You will then be mailed information and luggage tags so that you can easily go from Orlando International Airport directly to the hotel. At the airport, follow signs to the Disney Magical Express section on the ground floor. Be sure to have your hotel reservation or Magical Express reservation number so that the attendants help you board the correct bus.
Orlando International Airport is approximately 35-45 minutes from Disney’s Contemporary Resort. The code for the airport is MCO. While you can take a taxi or a ride-sharing service like Uber, we recommend using Disney’s Magical Express bus service if you are staying at one of the Disney resorts.
Please be aware for the following known scams:
No one should contact you directly to book your rooms or offer you a "special discounted conference rate." If you receive one of these calls, it is a scam. They have been known to say they are calling on behalf of NAEP. In these instances, not only are you not in the conference block but there have been several instances in which the "company" will take your credit card information, give you a fake confirmation number and not secure a reservation for you regardless of charging your credit card.
If you receive a phone call from someone wanting to speak to the 'tradeshow coordinator or the person who is handling this event from your side' or tries to alert you to a 'decrease in the conference room pricing' or 'very limited availability,' this is a scam tactic. Please ignore it and hang up. These companies are not affiliated with NAEP, and it is a scam.
If someone contacts you claiming to be from the NAEP Exhibitor Department and is not with GES, HelmsBriscoe,Disney’s Exhibitor Concierge or NAEP staff, do not share any information with them. The company is not affiliated with NAEP, and it is a scam.
