NAEP Annual Meeting Hotel Overflow Information 0 L. Baessler Hi Michigan and Ontario!  In case you haven't seen this or are unaware that the Contemporary Hotel for Orlando Florida is booked here is information from Melanie Freeman regarding overflow hotel arrangements.  I was just told that the overflow hotel is booking fast! Good afternoon everyone,   Our block at the overflow property, Disney Springs DoubleTree Suites at the rate of $159, recently sold out. We have secured an additional 20 rooms at the rate of $189 per night. The DoubleTree is almost full (regardless of the room block). Shane will send out marketing and update the website to reflect this information. For attendees staying at the DoubleTree and Animal Kingdom Lodge, NAEP will offer a shuttle in the mornings (and Sunday afternoon) to the Contemporary. Attendees may use Disney’s monorail transportation system to return to the hotel at their convenience in the evenings. Once the block at the DoubleTree is sold out, we will advise anyone looking for a room to source and reserve on their own and that NAEP can’t negotiate a discounted rate. There may be some hotels off Disney property with openings but we can’t guarantee pricing. With about 30 days out from the conference, any contract that Anita can negotiate will leave us at a disadvantage with cancellation penalties if we aren’t able to fill all the rooms. Since the end of 2017, Shane has distributed email messages and placed notifications on the website advising attendees to reserve their hotel rooms. As well, we have added and expanded the number of rooms at the two overflow hotels. Between our conference and spring break, the hotels have filled up very quickly. If an attendee or vendor cancels his/her Disney hotel room (Contemporary or Animal Kingdom) from this point forward, we cannot add it back to the block and use it for another attendee looking for a room. It will go back into Disney’s inventory and be sold at prevailing market rates. As of this morning, the rate advertised for the Contemporary is $411 per night. The only exception to this is if the person cancelling calls Disney and asks to switch the name of the room to someone else instead of cancelling. (for example, the person can’t go but someone else in their department will be going in his/her place and still needs a room). The attendee or vendor needs to do this – Disney will not allow NAEP to do it for them. If a change is requested for a room reserved for the Board, let me know because Anita will have to make the change through Disney.   Regards,   Laura Baessler NAEP District IV Representative

Procurment Card Spend Limits 0 M. Matthewson I am interested in what spend limits you have assigned to your procurement cards.  1. Please advise if you have a single transaction limit and the dollar amount. 2. Please advise if you have a monthly limit and the dollar amount. 3. Please advise if you have a hierarchy, different limits for different classes of employees. If so, what was your logic in assigning the limits. 4. Do you have a policy or procedure on who can obtain a procard? This information, full or partial responses,  will be very helpful in benchmarking our program and making necessary adjustments. One of our Administrators received a brochure offering GRCC free membership (at least initially). They claim to provide goods to churches, non-profits and schools free of charge. Bid Thresholds 0 M. Matthewson I am interesting in hearing from  other colleges/ universities with regard to your bid thresholds. A link to your policy language would be particularly helpful.   Basically I'd like to know... At what dollar threshold is a sealed bid required? Do you require quotes (unsealed) at some threshold? At what dollar threshold do you require a PO? Do your thresholds differ? e.g. goods/services vs. construction How many students are at your school? Michigan Ontario Regional Fall Meeting 0 D. O'Brien The Michigan & Ontario Region of the National Association of Educational Procurement (NAEP) invites you to participate in our annual regional conference on Tuesday September 29 – Wednesday September 30, 2015 at Oakland University in Rochester, Michigan.     Attached is the conference agenda. Our featured presenter will be Jeff Kissinger, Senior Project Manager at Grand Rapids Community College speaking on Project Management for Non-Project Managers and Software Procurement & Licensing: What Works, What Doesn’t, and How Much Will It Cost You? To get a detailed look at what he will cover, see the attached presentation outlines.     We hope you are also able to attend our Meet and Greet Reception September 29 at 6:00 pm – 9:00 pm.  We will begin by touring the spectacular Meadow Brook Hall at Oakland University, a residence built by the widow of auto pioneer, John Dodge, and now a National Historic Landmark (60 minutes).
