New Attendee Orientation

Date: Sunday, March 25, 2007
Time: 4:00 - 6:00 PM
Location: TBD

First-time attendees, please come to this valuable orientation to learn all you need to know to get the most out of your annual meeting experience. Meet your Annual Meeting Mentor (AMM) who not only will help guide you throughout your entire stay, but will prove to be a valuable colleague.

What to Bring
Bring a good supply of business cards to the meeting. Exchange cards with members, speakers and exhibitors. Their expertise may be a good future resource. Bring note paper and pens to take notes. Upon registering at the NAEP Member Registration Desk, you will receive an NAEP registration package containing all of the meeting materials.
How to Dress
Business casual is the popular attire worn by our members during the day. Be sure to wear comfortable shoes. You may want to carry a sweater or light jacket with you to the workshops -- the temperature may vary from room-to-room.
Plan to Arrive Sunday
Try to arrive in San Jose for the Sunday evening Welcome Reception being held in the San Jose Marriott -- it's a great time to begin making contacts. We'll provide the great food, drinks, and friendly NAEP members! We really hope you can join us in this opening celebration!
Get to Know the Hotel & Convention Center
Once you check into the hotel and get settled in your room, take a stroll through the hotel and San Jose Convention Center to familiarize yourself with the floor plan. Just prior to the start of the Annual Meeting, NAEP will have signs in many locations to direct you to NAEP's Member Registration Desk, Host Committee Hospitality Room, Meeting Room areas, Computer Lab rooms and the Exhibit Hall.

Pick Up Your NAEP Registration Packet Early

IMPORTANT: Be sure to pick up your meeting registration packet at the NAEP Member Registration Desk as soon as you arrive. Your packet will contain other important meeting information such as your name badge, program, informational documents, etc.

The NAEP Member Registration Desk hours will be:

Sunday, March 25
7:30 am - 5:00 pm

Monday, March 26
7:30 am - 5:30 pm

Tuesday, March 27
7:30 am - 3:00 pm

Wednesday, March 28
7:30 am - 3:00 pm

Wear your name badge -- you will need it for admittance into workshops and the exhibit hall. If you have any problems or questions on-site, please speak to someone at the NAEP Member Registration Desk for assistance.
Review the Attendance List
NAEP's Member Attendance List, which you'll receive upon registering, will help you to identify colleagues at similar institutions and develop a continuing relationship with them. If you have attended NAEP regional meetings and have made contacts there, check the list -- chances are you may already know some attendees!

Coordinate Your Schedule With Your Companion
If you are registering a companion (spouse, guest or child), be sure to set up a time and place to meet them when the workshops are over. There is much to see and do in
San Jose!

NAEP Message Center
There will be an "NAEP Message Center" near the NAEP Member Registration Desk. If you need to contact someone at the meeting, simply post a message up on the bulletin board. The NAEP staff posts phone messages on this board as well, so be sure to check it periodically to see if you have received any messages.

Host Committee Hospitality
The Host Committee Hospitality Area will be located in the
Marriott Hotel. Host Committee representatives will be on-hand to answer questions about San Jose. This area also serves as a casual meeting place where brochures on points of interest, road maps and dinner menus will be provided.

Volunteers Needed to Assist Newcomers at Annual Meeting
Be an Annual Meeting Mentor (AMM)

There are always more than 100 first-time attendees at any NAEP Annual Meeting-which is why the Annual Meeting Mentor program came to be (formerly called AMPS for Annual Meeting Patron System). The AMM program is comprised of volunteers who make a newcomer comfortable, prepare them for what to expect, and launch them into the networking dynamics. AMMs are volunteers committed to personally welcoming one or two people who have never attended an NAEP meeting, or haven't done so in several years and might like some friendly help in re-entering the community.

As a Mentor, you will:

  • Contact newcomers and answer any general questions about the meeting.
  • Encourage attendance at the New Attendee Orientation.
  • Arrange a time and date to meet each other at the meeting.
  • Explore the possibility of traveling with the new attendee, if feasible. NAEP will match you to a newcomer in you region.
  • Introduce the newcomer to other NAEP members.

It takes some commitment, but it makes such a big difference to our new attendees. If your schedule for the March meeting allows you just a little extra time, you can help us by signing up as a Mentor.

To participate as a Mentor, contact Barbara Torre at 443-543-5535 or btorre@naepnet.org.
